Getting started

Onboarding with SmoothStay

Onboarding is where our AI guidebook builder turns what you already have into working draft guidebooks. You start it from the New property button, and minutes later you have live, shareable guidebooks for your guests. Here's what that looks like from start to finish, so nothing catches you off guard.

You start from something you already have

You don’t write a guidebook from scratch. When the setup wizard asks Where are your listings?, pick the option that fits how you work:

  • Connect Airbnb or your PMS. Connect your Airbnb account, or Hospitable or OwnerRez if you use a property management system, and SmoothStay builds a guidebook for every property you choose, using the details, amenities, and photos already there. Your reservations keep syncing after setup, so every booking gets its own guidebook link.

  • Add an Airbnb listing link. Paste your listing URL and we pull the title, description, amenities, house rules, photos, and location for that property.

  • Paste your text. Copy your listing text, or the full text of a welcome book you already made in Canva or on paper, and drop it in. If you already spent hours writing one, that work carries straight over.

If you can connect Airbnb, Hospitable, or OwnerRez, that’s the fastest path, and the only one that sets up your whole portfolio in one go and keeps syncing afterward. Otherwise, an Airbnb listing link is quickest. Pasted text works for every property type and every channel.

Each property you import becomes its own guidebook.

Already using%guidebook%in Hospitable? It points to your SmoothStay guidebooks as soon as you connect. To finish your guidebooks first, remove the short code from your messaging rules and add it back when you're ready. See the full Hospitable guide.

The builder does the heavy lifting

Before it builds, you review what comes in:

  • Connected to Airbnb or a PMS: you see every property in your account. Choose which ones to import, and whether to bring in existing reservations or start with new bookings only.

  • Airbnb link or pasted text: we show you what we pulled (property type, check-in and checkout times, amenities, and location). Fix anything that looks off.

Then generate. From there the AI assembles a structured guidebook on its own, and does this for every property you imported. Expect it to:

  • Organize everything into clear sections a guest can navigate, from arrival and check-in through checkout.

  • Find and list good spots nearby, including restaurants, attractions, and how to get around.

  • Set up your amenities so they display cleanly and are ready for guest questions.

  • Sort your photos into the articles they belong to.

It runs by itself. You’re not answering a long questionnaire, and the whole thing takes minutes. The build runs in the background, so you can close the tab and come back later. If a build ever fails, you can retry it in one click.

What you get at the end

Complete first drafts of your guidebooks, each with its own link, ready to open on a phone. We show you a quick summary of what got built and a couple of ways to share it.

Think of each one as a strong first draft, not a finished product. The AI fills in everything it can infer and flags the things only you know.

What you'll want to finish

The builder can't know your gate code or wifi password. Before you send a guidebook to a guest, complete the essentials we mark for you:

  • Check-in and checkout steps

  • Door or gate access, plus the wifi password

  • House rules

  • Directions to the property

  • Your contact info and local emergency numbers

Add the Wi-Fi details and door access instructions in the property’s Guest info section (Guidebook › Content › Guest info). For articles that show them, turn on Restrict access so they only appear to guests with a reservation link, from your lead time until checkout. Your AI Concierge follows the same rule.

If you connected your PMS, check these for every property. Everything else is editable too. Change any wording, swap photos, or add and remove articles whenever you like.

Adding more properties later

Shared articles like restaurants and nearby attractions are generated once and reused across your properties, so you don't maintain the same content in several places.

  • Connected to Airbnb or a PMS: new properties come in through Settings → Integrations → ⋮ → Resync, which reopens the same import.

  • Started from an Airbnb link or pasted text: the builder creates your first property, or your first room if you run a hotel or B&B. For the next one, duplicate it from the Properties list and adjust only what’s specific to that space. The second guidebook takes minutes rather than another full setup.

Once your guidebooks are live, guests can ask them questions directly and the AI Concierge answers from your content. That's what cuts down the repeat messages in your inbox.
