SmoothStay gives you three ways to share your digital guidebook, each for different situations and security needs. Choose based on who you're sharing with and how much control you need.
Overview: three ways to share
Link type | Best for | Security | Restricted articles |
|---|---|---|---|
Easy sharing without per-guest control or tracking. | Yes (token) | Always visible | |
Direct guest invitations with tracking. Restricted content opens by reservation dates. | Yes (token) | Visible from lead time until checkout | |
Public link (only if public view is on) | Showcases and open venues like boutique hotels, coworking spaces and public venues. | No (public URL) | Always hidden |
Tip: you can use all three together. Keep the guidebook public for general visitors, send reservation links to specific guests for sensitive information, and use the general share link for quick sharing.
How to get a share link
You'll find share options in three places, and the share popup adapts to what you're sharing:
A property: open the property and click Share in the top bar, or More options on the General share link card.
Specific content: in Guest Experience → Knowledge Base, click the share icon on a category, subcategory or article, or Share in the article editor. This creates a deep link.
A reservation: on the Reservations page, click the share icon in the Actions column.
The share popup
Properties: filled in from where you clicked share, or pick one from the dropdown.
Type of access: General share link or Reservation link. For a reservation link, pick the upcoming reservation.
OTA compliance (general share links): Unrestricted shows all content; Restricted hides OTA-sensitive content. See OTA compliance.
The link: the exact URL guests will open.
Quick actions
Copy link: copy it to your clipboard.
Visit: preview what guests will see.
Generate QR: create a QR code for printing.
The public link isn't in the share popup. You'll find it in the property's Public view panel once public view is on.
