Guest registration is a widget: a short form guests fill in before they open your guidebook. It collects details like name, email and phone, and can invite guests to opt in to your marketing. Every registration lands in your Contacts.
Set up your privacy policy first
You need your own privacy policy link to show the form, especially if you collect emails for marketing. SmoothStay's privacy policy covers SmoothStay, not you as a host, so it can't be used in place of yours.
No website or privacy policy yet? Free tools like Termly, iubenda or PrivacyPolicies.com create a hosted policy page you can link to.
Turn it on
In the sidebar, go to Guest Experience → Widgets.
Under Always in place, click Guest registration.
Under Default requirement, choose:
Off: no form.
Optional: guests see the form but can continue without registering.
Required: guests must register before they open the guidebook.
Every property follows this default. A property can also use its own setting: open the property, click the Widgets row, open Guest registration and turn on Custom settings for this property.
Set up the form
Form heading: the line under your property name. Leave it empty to use our default.
Fields: set First name, Last name, Phone, Language and Country to Off, Optional or Required. Email is always included.
Privacy policy: paste your privacy policy link. Guests tick a box to agree to it.
Marketing opt-in: turn it on to add an opt-in checkbox, and write its text (up to 120 characters), for example "Yes, I'd like to receive updates and offers." It's always unchecked by default and appears only when Email or Phone is shown.
Show on: choose the link types that show the form: General share link, Reservation link and Public link.
Tip: fewer fields means more registrations. Only ask for what you'll actually use.
If guests can't see the form
When the requirement is Optional or Required but something is missing, the settings show Guests can't see the form yet with what to fix:
Add your privacy policy link.
Make at least one field visible.
Pick at least one link type under Show on.
Guests don't see the form until these are fixed. Use Preview on the Widgets page to check.
Booking channel rules
On reservation links from the booking sources you mark as restricted in Settings › Reservations › Restricted booking sources, the whole Guest registration form is turned off. Airbnb and other platforms limit collecting guest contact details for marketing. Learn more in OTA compliance.
Where registrations go
Registered guests appear in Contacts. If a guest with the same email already exists, their contact is updated instead of duplicated. When a guest opts in, the consent date and the wording they agreed to are saved on the contact.
Guest activity like page views, article reads and AI Concierge conversations is tracked by contact once they register, under Guest Experience → Analytics.
